Leads and opportunities, the weighted pipeline, price lists, quotes, sales orders with stock reservation, recurring invoices and the customer portal.
This guide covers the path from a first enquiry to a paid invoice. You track leads and opportunities in the CRM, quote, take sales orders, invoice, and let customers see their account on the customer portal. It also covers price lists, email templates and recurring invoices.
Leads and Opportunities
Go to ERP → CRM and open the Leads tab. Record the contact, company and source, and assign the lead to a person. Move its status as you work it, for example from new to contacted to qualified.
Click Convert on a lead to turn it into a customer record. The lead is then marked as converted.
On the Opportunities tab, add each deal with its customer, estimated value, expected close date and pipeline stage. Mark it as won or lost when the deal closes. The Pipeline tab shows the deals by stage with the total value in each.
Each stage has a win probability and can be marked as closed-won or closed-lost. Stages are set up through the API; there is no screen to edit them yet.
Forecast and Follow-Up
The weighted forecast multiplies each open opportunity's value by its stage's win probability. It is shown on the Revenue Ops screen, next to the open pipeline value.
From the CRM screen, open Revenue Ops. It lists account health (based on overdue invoices, open support tickets and recent activity) and opportunities coming up for close.
Three rules can be run when you choose: Assign Stale Leads gives unassigned old leads to an owner, Roll Forward Overdue Opportunities moves a missed close date forward and adds a note, and Create At-Risk Follow-Ups adds a follow-up note to at-risk customers. You can preview the list first before anything changes.
Quotes and Sales Orders
Go to Finance → Quotes. A quote moves from draft to sent, and is then accepted or rejected. It can be edited while it is a draft or sent. Accept it and convert it to an invoice in one step, or convert an accepted quote later.
Go to Finance → Sales Orders. Create the order with its lines, then Confirm it. A confirmed order can be converted to an invoice, marked as shipped or cancelled. Cancelling releases any stock reserved for the order.
Converting an order or quote creates a draft invoice under Finance → Invoicing (AR). When you issue it, the totals are fixed, the journal is posted and stock lines are taken out of stock with cost of sales (DR 5000 / CR 1500). Issued invoices cannot be edited; a mistake is corrected with a credit note or by cancelling, which posts a reversal.
Only confirmed orders can be converted to an invoice. Create the invoice before you mark the order as shipped. Shipping is a status only; stock leaves when the invoice is issued.
Stock can be reserved against a confirmed order through the API. Fulfilment progress per order is shown on Operations → Ops Reports.
Prices, Templates and Recurring Invoices
Under ERP → Pricing, set up price lists with a currency, a list discount and effective from and to dates, and add item prices. Quantity price breaks can be added through the API. Price lists are a reference; they are not applied to quotes or invoices automatically.
Under ERP → Email Templates, store standard wording with merge fields such as {{variable}}. Templates hold text only; they do not send bulk email.
Under Finance → Recurring, set up a schedule for a customer with an amount, a frequency (daily, weekly, monthly, quarterly, biannual or annually) and the next run date. On the run date the invoice is created and issued. You can also run a schedule by hand.
Customer Portal
Give customers access under Settings → Portal Users. On the portal a customer can:

Portal payments are recorded on the same payment path as payments captured by staff, so the invoice balance and statement stay in line.
